Hot Shot Delivery, Inc. is a long established premier courier delivery service that specializes in same day delivery of important documents and packages. The company also provides all types of delivery services including air freight, monthly jobs and parts warehousing. The company does in excess of 700 pickups and deliveries every business day.
One of Hot Shot’s key perceived values over its competition was to provide the signed delivery receipt to their customers, which they mailed every month with their account statement. Prior to mailing out the original copies, the company microfilmed all of the paper delivery tickets. Hotshot wanted to eliminate the the manpower time and expense involved with microfilm, the complex sorting required, and the additional mailing costs each month. In addition, Hot Shot wanted to integrate the delivery receipt with their existing dispatch software system, to allow their customers to view their tickets on line in lieu of receiving the monthly statement.
The iKAN Virtual Document Center was installed along with a departmental scanner to scan the delivery tickets. Personnel who were previously involved with the microfilm, sorting, mailing and other tasks were reassigned, reducing the requirement to one person handling the document scanning function. The process takes approximately one hour per day. Once scanned, the tickets are indexed against the dispatch system database, reducing index time dramatically. The system then posts the scanned documents to a secure login area of their web site, allowing Hot Shot customers to go on-line and view their signed delivery receipts on demand.
Hot Shot’s return on investment was less than 6 months by factoring in the elimination of microfilm and the reduced manpower time previously spent processing the paper tickets the old way. Customer service has improved as customers are able to do their own proof of delivery lookups via the web. The solution has given them a competitive advantage that it uses in its marketing campaigns, and management has determined it has improved their customer retention.
